Administrative Formalities Regarding Voluntary Termination in Canada

Last pay
Your final pay will be deposited on the following the pay cycle. Payroll will communicate your ID and password to the external Ceridian DayForce platform to your personal email address in a few weeks (ensure to check your spam or junk folder for it). You can find your tax forms and the latest pay statement there. If you have any questions, please contact Payroll Canada directly at payroll.canada@alithya.com to connection instructions.
Holidays and amounts due
We will reimburse you for any other amount due, including any compensation relating to annual (vacation) leave that you did not benefit from in Fiscal Year (April to March ). These amounts, if any, will be paid to you on your last pay.
Reimbursement of business-related expenses
If, before the date of your end of employment, you have incurred expenses related to the activities of the company which has not been reimbursed, you are invited to send the relevant supporting documents with the details (e.g. event with the client, project), within 10 days of this for validation and final approval. Reimbursement for these expenses will be made following the standard process.
Record of Employment
The Company will electronically send a copy of your Record of Employment to Service Canada. If necessary, you can access the Service Canada website www.servicecanada.gc.ca to consult your record of employment.
Tax documents
Your documents for the current fiscal year tax purposes will be available next February and you can retrieve them from the platform Ceridian. The payroll team usually resets the password, and you will be able to access the documents with new credentials. You will receive this info at your personal email address.
Change of personal details
It is important to contact the Human Capital team at capital.human@alithya.com for any change in personal contact information during the year (home address, telephone, personal email) so that we have the information at up to date in our records.
Group insurance
Your eligibility and participation in the Alithya group insurance plan cease on the date of your termination. You may convert your group life insurance to personal life insurance at the rates and conditions set by the insurer. If you wish to take advantage of this option, you must do so within 31 days of your termination date. For more information, please contact Desjardins at 1-800-463-7843 or visit https://www.desjardins.com/on/en/insurance/group.html. Navigate to the Tools and Resources tab and select the End of Employment or Retirement section.
Group RRSP program
Your participation in the company's group RRSP program ends on the termination date (if applicable).
- To make arrangements for your RRSP with the FTQ, you can contact customer service at 1-800-567-3663 for Québec.
- To plan for your Group RRSP with Desjardins, you can contact customer service at 1-888-513-8665.
Share Purchase Plan
Your participation in the Share Purchase Plan ends on the termination date. You have 90 days to contact TMX (the plan's employee platform administrator) at 1-888-630-5999 to track your actions. After this time, your shares will be transferred to the TMX Investor Platform. If your shares are converted to an RRSP, you have 20 days to make arrangements with TMX.
Property and documents belonging to the company
All company property and equipment, including keys, access cards, credit cards, computer, laptop, software, passwords, and any other company property in your possession, must be packaged in the pre-paid Purolator box that will be sent to your home address (on file) with instructions to follow. There are no fees to pay.
Confidentiality and non-solicitation
As provided for in our code of ethics and professional conduct, which you signed when you were hired, we remind you that you have undertaken to respect its content, including your obligations in terms of confidentiality and non-solicitation, which remain, even after your employment ends. Furthermore, the content of this letter must remain confidential. I take this opportunity to remind you that your obligation of loyalty remains, even after your employment ends, which implies that you must show restraint and tact in the comments you make on the media, social networks or the Internet, so that they do not damage the reputation, image or credibility of Alithya or its customers, staff or subsidiaries.
